V2 - How to Set Up Just-In-Time Webinars and Instant Replays

Automated (Evergreen) webinars can be scheduled in different ways depending on how you want attendees to access the session. You can use In-Time (Just-In-Time), Instant Replay, Recurring Schedules, or a combination of these options.

These settings determine what date and time choices are shown to visitors on the registration page.

​In-Time (Just-In-Time) Registration

When In-Time Registration is turned on, the system will show the next upcoming session based on the interval you select. Available interval options are 15 minutes, 30 minutes, 45 minutes, or 1 hour.

For example, with a 15-minute interval, the webinar times are aligned to the clock:

  • :15

  • :30

  • :45

This means the next available session may be anywhere from 1 to 14 minutes away, depending on when someone lands on the registration page.


If a visitor arrives at 12:06, the next available time slot would be at 12:15 (9 minutes away).

To Use Only Just-In-Time

Turn In-Time Registration ON and keep both:

  • Instant Replay OFF

  • Recurring Schedule OFF

This will ensure the webinar always appears to be starting soon, based solely on the interval you selected.

Excluding Certain Hours (Optional)

You can choose to exclude specific hours (such as overnight) so that In-Time sessions do not appear during those times. This is commonly used to make the webinar feel more realistic or “live-style.”


If your audience is active around the clock, you can leave these hours enabled so the webinar runs 24/7.


Instant Replay

When Instant Replay is turned on, attendees can watch the webinar immediately after signing up. This option is useful if you want viewers to start watching right away instead of waiting for the next In-Time interval (which can be 1–14 minutes away, depending on when they arrive).

Important Notes:

  • Instant Replay is a replay, not a scheduled session.

  • Video player controls will be visible.

  • Watch-time tracking tags (such as watched full or left early) do not apply to Instant Replay. Those tags are only available for scheduled future date/time sessions.

Instant Replay can be:

  • Used by itself

  • Used together with Recurring Schedules

  • Used together with In-Time, but most commonly it is paired only with recurring times or used alone.


Recurring Schedule

Recurring Schedules allow you to offer future date and time options for attendees to choose from on the registration page.

You can schedule webinars in several ways:

Every Day

  • Choose a time the webinar runs each day.

  • To add multiple times in the same day, click Add More Time and select another daily time.

Weekly

  • Select specific days of the week and assign time(s).

  • You can choose multiple days in one selection if using the same time.

  • To use a different time for another day, simply add another schedule entry.

The number of schedule options shown to registrants can be adjusted in Settings → Number of Schedules Available.

Blackout Dates

Blackout Dates allow you to prevent the webinar from running or accepting registrations on specific dates.
This is useful if you do not want sessions to appear on holidays or on days when you will not be available to respond to attendees.

Simply select the dates you want to block, and the webinar will not display or run on those days.
