How to Integrate ActiveCampaign with EasyWebinar and Map Tags and Custom Fields

Connect ActiveCampaign with EasyWebinar to sync webinar registrant information, organize contacts using behavior based tags, and send webinar specific details to your email marketing platform.

Overview

EasyWebinar's native ActiveCampaign integration helps you connect webinar activity with your marketing workflows. You can tag contacts based on whether they registered, attended, watched a replay, left early, or clicked an offer. You can also map custom fields to pass information such as webinar titles, unique join links, replay links, and scheduled dates and times.

This guide explains how to connect both platforms, configure tag mappings, and map custom fields so you can create more personalized follow up campaigns.

What Can You Do With the ActiveCampaign Integration?

Once configured, the integration allows EasyWebinar to send relevant webinar information to ActiveCampaign, including:

Contact information

  • Registrant details supported by the integration, such as name, email address, and phone number.

Behavior based tags

  • Registered for a webinar

  • Attended a webinar

  • Watched the replay

  • Left the webinar early

  • Clicked an offer

Custom field values

  • Webinar title

  • Webinar join link

  • Webinar replay link

  • Webinar date and time

  • Other supported webinar specific values

By syncing this information, you can segment your contacts and build more relevant email campaigns based on how people interact with your webinars.

Connecting ActiveCampaign to EasyWebinar

Before you begin, make sure you have access to both your EasyWebinar and ActiveCampaign accounts.

Obtain Your ActiveCampaign API Credentials

To connect the two platforms, you will need your ActiveCampaign API URL and API key.

  1. Log in to your ActiveCampaign account.

  2. Navigate to Settings and open the Developer section.

  3. Locate your API URL and API key.

  4. Copy both credentials so you can enter them into EasyWebinar.

Keep your API credentials secure and do not share them publicly.

Connect Your Accounts

Once you have your API credentials:

  1. Log in to your EasyWebinar dashboard.

  2. Click Integrations in the left hand toolbar.

  3. Navigate to the CRM integrations and locate ActiveCampaign.

  4. Click Connect.

  5. Paste your ActiveCampaign API URL and API key into the corresponding fields.

  6. Click Connect to complete the setup.

EasyWebinar will display a confirmation message when the connection is successful.

Once your accounts are connected, you can configure the integration for individual webinars.

Configure ActiveCampaign for Your Webinar

After connecting your accounts, navigate to the Webinars section in EasyWebinar and select the webinar you want to configure.

Open the webinar's Integrations section and select ActiveCampaign.

Start by selecting the ActiveCampaign list where you want the webinar leads to be added. Choose the appropriate list based on your audience and marketing goals.

Once you have selected the list, you can configure tag mappings and custom fields for the webinar.

Important: Make sure you select the correct ActiveCampaign list so that your webinar contacts are added to the intended audience.

Mapping Tags Based on Webinar Activity

Tags help you organize contacts according to their webinar activity. You can use these tags in ActiveCampaign to segment your audience, trigger automations, and send targeted follow up emails.

Before configuring tag mappings, create the relevant tags in ActiveCampaign. Once created, these tags can be selected in EasyWebinar.

Example: Tag Contacts Who Register

To apply a tag when someone registers for your webinar:

  1. Open the ActiveCampaign integration settings for your webinar in EasyWebinar.

  2. Under Event, select Registered.

  3. Under Action, select Add Tag.

  4. Select the corresponding tag that you created in ActiveCampaign.

  5. Click Add Mapping to save the configuration.

For example, you could create a Webinar Registered tag in ActiveCampaign and map it to the Registered event in EasyWebinar.

This allows you to identify contacts who signed up for the webinar and use that information in your marketing workflows.

Example: Tag Contacts Who Attend

You can also apply a tag to contacts who attend your webinar.

Create a Webinar Attended tag in ActiveCampaign, then map it to the attendance event in EasyWebinar.

Select Attended as the event, choose Add Tag as the action, select the corresponding ActiveCampaign tag, and click Add Mapping.

This makes it easier to distinguish attendees from people who registered but did not attend.

Additional Behavior Based Tagging Options

EasyWebinar supports other webinar activity triggers that can help you organize contacts based on their engagement.

Depending on the triggers available for your webinar, you can configure mappings for events such as:

  • Registered: Identify contacts who signed up for the webinar.

  • Attended: Identify contacts who joined the session.

  • Watched Replay: Identify contacts who watched the replay.

  • Left Early: Identify attendees who left before the session ended.

  • Clicked Offer: Identify contacts who clicked an offer presented during the webinar.

To configure each mapping, select the relevant event, choose Add Tag, select the matching ActiveCampaign tag, and click Add Mapping. You can create multiple mappings for a single webinar to track different types of audience engagement.

Why Use Behavior Based Tags?

Behavior based tags help you tailor your follow up communication to each contact's level of engagement.

For example, you could:

  • Send replay details to people who missed the live webinar.

  • Share additional resources with attendees.

  • Create a targeted follow up campaign for people who clicked an offer.

  • Segment contacts who watched the replay for future promotions.

Once these tags are available in ActiveCampaign, you can use them to build automations and email campaigns based on your marketing strategy.

Mapping Custom Fields

In addition to tags, EasyWebinar allows you to send webinar specific information to custom fields in ActiveCampaign. Custom fields let you store additional details on a contact record. This information can then be used in supported automations and personalized communications.

Important: Create the required custom fields in ActiveCampaign before mapping them in EasyWebinar.

Create a Custom Field in ActiveCampaign

For example, if you want to store each registrant's unique webinar join link, you can create a custom field for that information.

  1. Log in to your ActiveCampaign account.

  2. Navigate to the contact custom fields area.

  3. Create a new custom field named Webinar Join Link.

  4. Select Text Input as the field type, as shown in the tutorial.

  5. Save the new field.

Repeat this process for any additional webinar information you want to store, such as the webinar title or replay link.

Map the Custom Field in EasyWebinar

Once your custom field has been created in ActiveCampaign:

  1. Return to EasyWebinar and open the ActiveCampaign integration settings for your webinar.

  2. Refresh the API connection so EasyWebinar can retrieve the latest available fields.

  3. Navigate to the Custom Fields section.

  4. Locate the relevant custom field in ActiveCampaign.

  5. Copy its associated personalization tag from ActiveCampaign.

  6. Paste the personalization tag into the corresponding field in EasyWebinar.

  7. Save your changes.

Once the mapping is configured, EasyWebinar can send the corresponding supported webinar value to ActiveCampaign.

Examples of Custom Field Mappings

You can map supported EasyWebinar values to custom fields in ActiveCampaign, including:

EasyWebinar value

How you can use it

Webinar Join Link

Provide the relevant webinar access link

Webinar Title

Identify the webinar associated with the contact

Webinar Replay Link

Direct contacts to the appropriate replay

Webinar Date

Store the scheduled webinar date

Webinar Time

Store the scheduled webinar time

The values available for mapping depend on the fields and options supported by your integration.

Why Map Custom Fields?

Custom fields allow you to store more specific information than tags alone. For example, a tag can identify someone as a webinar registrant, while a custom field can store the title or join link for the relevant webinar.

This makes it easier to personalize communications and use webinar specific information in supported ActiveCampaign automations.

Best Practices for a Successful Integration

To ensure your integration is configured correctly, keep the following recommendations in mind:

  • Create tags and custom fields first: Set them up in ActiveCampaign before mapping them in EasyWebinar.

  • Choose the correct list: Confirm that webinar leads are being sent to the intended ActiveCampaign list.

  • Use clear tag names: Names such as Webinar Registered, Webinar Attended, and Watched Replay make contact segmentation easier.

  • Refresh the API connection when needed: If newly created fields are not visible, refresh the connection to retrieve the latest available information.

  • Test your mappings: Where possible, complete a test registration and verify that the expected contact details, tags, and custom field values appear in ActiveCampaign.

  • Review your automations: Confirm that your ActiveCampaign workflows use the correct tags and fields for their intended actions.

Conclusion

The native ActiveCampaign integration connects your EasyWebinar events with your email marketing workflows. By syncing contact details, mapping behavior based tags, and passing webinar specific information through custom fields, you can reduce manual work and create more relevant follow up campaigns.

Once your integration is configured, you can use the data sent from EasyWebinar to better understand audience engagement and tailor your communications to each contact's webinar activity.
