V2 -πŸ”— How to Integrate EasyWebinar with Ontraport: Step-by-Step Guide

Connecting EasyWebinar with Ontraport allows you to seamlessly manage your leads, automate your marketing, and tag your registrants based on their behavior β€” all without manual work.

Updated over a week ago

With this direct integration, you can easily sync registrant data, apply tags, and pass custom field values like webinar links, dates, and times from EasyWebinar to your Ontraport account.

Let’s walk through how to set it up. πŸ‘‡

πŸš€ Step 1: Access the Integration Settings in EasyWebinar

  1. Log in to your EasyWebinar account.

  2. Navigate to Settings β†’ Integrations.

  3. Find Ontraport and click Connect.

You’ll be prompted to enter your App ID and API Key β€” both of which can be found inside your Ontraport account.

🧩 Step 2: Retrieve Your Ontraport API Credentials

To find your App ID and API Key in Ontraport:

  1. Log in to your Ontraport account.

  2. Go to Profile β†’ Administration β†’ Integrations.

  3. Select Ontraport API Instructions and Key Manager.

  4. Copy the App ID and API Key values.

πŸ’‘ Tip: Keep both your EasyWebinar and Ontraport accounts open in the same browser for a smoother setup process.

Once copied, return to EasyWebinar β†’ Integrations β†’ Ontraport and paste your credentials.
Your accounts are now connected!

🏷️ Step 3: Configure Tags and Behavioral Triggers

With your integration connected, you can now define automation rules based on attendee behavior.

  1. Go to the Webinar you want to integrate.

  2. Navigate to Integrations β†’ Ontraport β†’ Connect to Webinar.

  3. Click Add Action and select a trigger event, such as:

    • Registered for Webinar

    • Attended Webinar

    • Missed Webinar

    • Watched Replay / Didn’t Watch Replay

    • Asked a Question

    • Clicked an Offer

Then, choose the desired action, such as:

  • Add Tag

  • Remove Tag

  • Add to List

  • Remove from List

🏷️ Step 4: Create and Sync Tags from Ontraport

Before mapping tags in EasyWebinar, make sure they exist in Ontraport.

To create a new tag in Ontraport:

  1. Go to Contacts β†’ Tags.

  2. Click Add New Tag.

  3. Name your tag (e.g., EasyWebinar - Registered).

  4. Click Save.

Back in EasyWebinar, click Reload Tags to refresh your tag list and sync any new tags.
Now select your newly created tag to map it with the correct event trigger (e.g., β€œRegistered”).

🧠 Step 5: Map Custom Fields

In addition to tags, EasyWebinar lets you send custom field data such as:

  • Unique webinar join link

  • Webinar date and time

  • Attendee timezone

To set these up:

  1. In Ontraport, go to Contacts β†’ Field Editor β†’ Add New Field.

  2. Name your field (e.g., EasyWebinar Join Link).

  3. Set the field type to Text (even for dates or numbers).

  4. Click Save.

Return to EasyWebinar and click Reload Tags/Fields again.
Your new field should now appear β€” simply map it to the corresponding data (e.g., Join Link).

You can then use these custom fields within your Ontraport email templates or automations to personalize follow-ups.

🧩 Step 6: Test Your Integration

Once your tags and custom fields are set:

  • Register for your webinar using a test email.

  • Check your Ontraport contact record to confirm that tags and field values are updating correctly.

If everything syncs as expected, your integration is good to go!
